About Grain Manager
What is Grain Manager?
Grain Manager is a small, honest tool for UK assured combinable-crop farms. It keeps your stores, crop lots, contracts, passports and movements in one place — designed to support assurance compliance and replace the spreadsheets and shoeboxes most of us still rely on.
Who built it?
James, a small family farmer in Essex, growing combinable crops. He started it in 2017 on a spreadsheet because the paperwork was eating his time. Across nine harvests it became something powerful enough to share with other farmers.
Who is it for?
Assured combinable-crop farms in the UK — wheat, barley, oats, oilseed rape, beans, peas. Small to large arable enterprises and mixed farms with a combinable enterprise. If your harvest admin currently lives in a notebook, shoebox or spreadsheet, it's built for you.
What's the difference between Grain Manager and a farm management system?
Grain Manager is focused on the harvest-year operations: what you grew, what you sold, what's left and where it's going. It's not trying to replace your agronomy tool or your accountant — it does one thing properly, then helps you find the records when the auditor asks.
Using it
Does it work on a phone or tablet?
Yes. It's built as a Progressive Web App — it runs in any modern browser on a laptop, phone or tablet, and you can install it to your home screen if you want it to feel like an app. It's designed for big tap targets and patchy signal on the weighbridge.
What if my signal drops?
Core weighbridge actions are designed to work offline and sync when you're back in signal. You shouldn't lose a passport because the field corner has no 4G.
Can I bring my existing records across?
Yes. CSV import for crop lots, contracts and movements during onboarding. If your data is in an unusual shape, drop me a line — during the beta I'll help personally where I can.
How long does setup take?
Around 30 minutes for a typical farm to lay out the stores and bins, then add the year's crop lots as they're harvested. Contracts get added when you agree them. From day one you can start filling in passports on the weighbridge.
Data & security
Where is my data stored?
On secure UK/EU hosting (managed Postgres) with backups and encryption in transit and at rest. Full detail on the Security & data page.
Who can see my data?
You, and the people you invite. James (the builder) has access only for support and only with your agreement. Your data is not sold, shared with merchants, or used to train anything.
Can I export everything?
Yes. CSV exports for crop lots, contracts and movements are part of the product, not an upsell. Passports are stored as PDFs you can download in bulk.
What happens if Grain Manager stops one day?
You'd be notified well in advance with a full export of every record on your account. The aim is for that day never to come, but the safeguard is built in.
Pricing
How much does it cost?
Free during the beta. After public release: £15/month or £120/year as introductory rates. Beta participants keep their introductory rate.
Is there a free trial after release?
The plan is for new growers to be able to try Grain Manager properly before paying. Details will be confirmed before public release.
Are there hidden charges?
No. Unlimited stores, lots, contracts, passports and movements on every paid plan. Email support included. No "per user" surprises for typical farms.
Support
How do I get help?
Email sales@grainmanager.uk. During the beta it lands with James directly. Quick questions get answered in hours, harvest-day issues are treated as priority.
Is there phone support?
Not yet. Email is the main channel during the beta because it's more reliable in busy harvest periods. Larger farms can request a call.
Will you visit my farm?
For beta participants who want help getting set up, James will arrange visits where it's practical. Otherwise a short video call usually does it.
The future
What's coming next?
Insights and analytics are in active development. After that: a document vault, team permissions, and eventually the merchant and receiver portals described on the Network vision page.
Will the merchant / mill / haulier portals be free for growers?
The grower experience stays as one subscription — adding merchants or hauliers to the network won't add fees on the grower's side. Pricing for those portals is set with the people in those roles.
Will it ever sell or share my data with merchants?
No. Your data is yours. When you share a passport with a merchant, you're sharing that record on that load — nothing else.
